AI integration

AI integration that takes one specific task off your plate

For us, AI isn't a revolution, it's a working tool: chatbots, document processing, draft replies. We build all of it into the systems you already use, where it actually saves you time.

We'll show you where AI could work for you, on video, before you pay anything.

Sound familiar?

Everyone's talking about AI, but what's it good for in your business?

If any of these ring true, there's a spot in your business where AI can take on real work. Not everywhere, but it doesn't need to be everywhere.

You tried ChatGPT, but nothing stuck

It was useful, but nothing made it into your daily work. It stayed the occasional question, with no system behind it.

You copy data across by hand

You type in names and contact details one by one from quote requests, invoices and forms. Every re-typing takes time, and every re-typing is a chance to get it wrong.

You write the same reply for the umpteenth time

You answer the same questions by email over and over, almost word for word, even though the text is already in your head.

Evenings and weekends, there's no one to reply

The questions keep coming, and they sit there unanswered until morning; by the time you write back, some have already asked someone else.

What AI integration means with us

Concrete tools inside the way you already work, not an "AI transformation"

We build well-defined AI tools into what you already have: your inbox, your records, your website. AI automation is the narrower thing we specialise in, but we only put it where it actually does work.

A chatbot for common questions

  • It answers the questions that come up day after day: opening hours, where you are, whether there's an open slot, how to reach you
  • It only answers from what you load into it; what it isn't sure about, it doesn't make up, it asks for the person's contact details and hands them to you
  • It answers questions that arrive at night or on the weekend right away, so the lead doesn't go cold by morning

Pulling data out of documents

  • It pulls the name, contact details and line items from a quote request, an invoice or a form, and enters them into your records or a spreadsheet
  • A quote request that comes in as a PDF becomes a logged lead, with name and phone number, without any typing
  • Less manual re-typing, so fewer mistyped numbers end up in the spreadsheet

Sorting emails, drafting replies

  • It tags incoming mail: quote request, existing client, invoice, complaint, so you see what matters first
  • For the questions that keep coming back, it writes a ready draft based on your earlier replies; you look it over and send it
  • Nothing goes out on its own: a reply is only sent once you've approved it

A first draft of your texts

  • For a quote, a product description or a newsletter, it writes the first version from your notes and your earlier texts
  • You don't start from a blank page: you shape a ready draft into place instead of writing from scratch
  • Whatever leaves your hands, you approve; the AI doesn't post or send anything in your name

A search across your own documents

  • You can ask your price list, your policies and past quotes in one place, for example "how much did we charge for the extension last year"
  • A new hire asks the system about a process instead of stopping you every ten minutes
  • Each answer comes with the document it's from, so you can check it back

Follow-ups, so no enquiry slips through

  • It flags when a quote request has gone days without a reply, or when a quote you sent got no response
  • It drafts the follow-up message from the earlier exchange; you look it over and send it
  • It times review requests too: after the job, it reminds you which happy client is worth asking for a review

We start with a single, well-chosen task and only move on once the first one has proven itself. We don't turn your whole operation upside down, we just take one thing off your plate, then the next can follow.

Which one do you need

AI integration or workflow automation

The line is simple. The two often add up to a full solution: the rules run the process, the AI does the interpreting. The audit shows which is the shorter path for you.

If it can be turned into rules

Workflow automation

When the steps of a process are clear ("if X comes in, do Y"), there's no interpreting needed, just precise execution. That's what workflow automation is for. If that solves the same thing more cheaply, that's what we'll recommend.

If it needs interpreting

AI integration

When a step needs a decision, judgement or understanding text (for example, working out what the person emailing you actually wants), that's the territory of AI integration. At the audit we'll tell you which to start with, and if the rule-based path is shorter, that's where we'll steer you.

How we work

Step by step, starting small, under control

1

Audit

We talk through how you work today: where the time goes, what no one likes doing, where things slip. All it takes from you is a conversation and a look at your day-to-day, no prep.

A list of the spots where AI makes sense for you
2

Picking the task

Together we pick the one from that list with the biggest payoff and the smallest risk. This is where we think through the data question too: what can go out to an AI provider, and what stays in-house.

A written proposal and quote, with the scope drawn
3

A small-scope pilot

We build the first, tightly scoped version and try it on real material: your emails, your documents, your client questions. What we need from you is feedback: what works, what doesn't, where it says something silly.

A working pilot you can use to decide whether it's worth continuing
4

Refining based on real use

We tune the system on what the pilot taught us: we fix what it gets wrong and tighten the control points where needed. This runs until it works reliably by your standard, not ours.

A solution that's reliable by your standard
5

Rollout and training

We put the system live, teach you and whoever will use it day to day how it works, and hand over short usage docs. We don't disappear afterwards either: we watch how it performs and speak up if something needs adjusting.

Audit

A written proposal on where, for what and in what order it's worth putting AI to work in your business.

Data handling

An overview: what can go out to an AI provider, what stays in-house, and what needs a contractual basis (GDPR, data processing agreement).

Pilot

A narrow first version, tested on real material, before anything goes live.

Control points

Approval steps, handoff to a person, a test period before go-live, so a mistake doesn't surface at your client's end.

Refining

Tuning based on feedback from real use, until it's reliable by your standard too.

Training and documentation

Training for you and whoever will use it, plus a short usage guide.

Follow-up

After go-live we keep watching how it performs, and speak up if something needs adjusting.

Honestly

Who it's for, and who it isn't

It's for you if
  • there's repetitive, text- or document-based work in your business: emails, quote requests, forms, recurring client questions
  • your processes run at least partly digitally, so there's something to build on
  • you're fine with us starting with control points, and the last word staying yours, not the machine's
It's not for you if
  • your processes still live on paper or in your head; in that case we build the basics first, often with workflow automation
  • you expect a know-it-all system ready by tomorrow: this is built step by step, we start with one process and grow from there
  • you expect automation that never gets it wrong: AI makes mistakes, so it needs human oversight. The tool just shortens the time decisions take, often by as much as 95%
What to realistically expect

We start small, because that's the fastest way to see whether it's worth it

The pilot

Within a few weeks you'll know if it helps you

That's why we start small, not with a six-month project. After the pilot you'll see exactly what it took off your plate (say, a good chunk of the incoming questions), and you decide whether it's worth continuing.

What we promise

The quality of the system, not how your market moves

The quality of the solution, the control points and honest feedback are on us. What isn't: your market and how much work comes in. And if the pilot shows this won't pay off for you, we'll say that too.

We won't promise you an exact number up front for how much time you'll save, because it depends on your processes. Instead of made-up or nicely rounded results, the video audit shows you live which task AI would take off your plate.

On our own system

What we recommend, we use ourselves

We built our own client-management system ourselves, with AI. Logging incoming leads, pre-sorting emails and much of the follow-up run on machine help there too. We step in where a decision is needed.

We're not talking theory: in a conversation we'll show you live how this runs for us, and what the same would mean for you.

  • Logging leads without typing
  • Pre-sorting incoming emails by topic
  • Follow-ups with machine help
  • The decision always stays with a human
Common questions

What people ask most

What AI tools do you work with, and do I need my own subscription?
We don't tie ourselves to a single tool: first we understand the task, then we choose the model and platform to fit it, not the other way round. If a solution needs its own account or subscription, we lay it out in the quote up front, itemised, with the expected running cost. No line items appear later.
What happens to my company's data, is this even GDPR-compatible?
That comes down to how it's set up, which is why the data question is part of the audit for us, not something we sort out afterwards. Together we set down what can go out to an AI provider, what stays in-house, and what needs a data processing agreement. We only let personal data into AI when there's a legal basis and a contract behind it, and if needed, we build the solution so that personal data never leaves your systems at all.
Won't the AI say something silly to my clients?
It can happen: AI makes mistakes, and anyone who claims otherwise isn't telling the truth. That's why every solution has a control point: the chatbot only works from the knowledge you've approved, and if it's unsure, it hands the question to a person; outgoing texts, at first, go out with your approval. Before go-live there's a test period with real questions, and your clients only see what has already passed that.
How much do I need to understand about the technology?
None. Building it is our job; yours is just to tell us how you work and to say if something isn't working the way it should for your business. We hand over the finished system so that using it day to day is no harder than writing an email, with training and short docs included.
What's the difference between AI integration and workflow automation?
In short: what can be turned into rules is workflow automation; what needs interpreting, a decision or understanding text is AI integration. Up in the "which one do you need" section we walk through it with examples, and at the audit we'll tell you which to start with for you.
Why isn't there a price on the site?
Because the scope differs from business to business: a chatbot built on a tidy knowledge base isn't the same as document processing that draws on five different sources. After the audit you get a written quote, itemised. You'll see exactly what you're paying for, why and how much. In the meantime, the "What the service includes" list shows you what to expect.
How do I pay, what's the pricing model?
For the setup you pay a one-off fee (this covers the audit, the pilot, go-live and training), then a monthly fee covers running it: we watch the system, refine it, and we're reachable if you have a question. You'll see the exact amount for both in the quote, based on the scope of the chosen task.
