Process automation, so the routine work runs itself

If you run your business alone or with a handful of people, the machine takes over part of your weekly routine: it moves data between your systems, sends out confirmations and reminders, and puts together your documents and reports. Fewer manual steps, fewer mistakes, and you get back the time admin used to eat up.

There are two of us behind Direkt-be, and we do the work ourselves. From the first review to handover, you work directly with us.

Routine chain Automatic
  • TriggerNew lead
  • StepRecord the data
  • StepConfirmation email
  • StepReminder
  • StepInto the CRM
  • EndDone

The machine repeats the rule-based routine with no manual step, always the same way.

Sound familiar?

Where does your week drain away?

These aren't organizational failures, they're rule-based, repetitive processes. Exactly the kind of work worth handing to a machine. The machine doesn't forget, doesn't make typos, and doesn't get tired on the twentieth repeat.

System to system, by hand

At the end of the day you're still copying data from one system into another, by hand, row by row.

The same email, for the umpteenth time

You write the same email over and over, just swapping the name in it.

Quote, invoice, reminder, and sometimes it slips

Quotes, invoices, payment reminders: all sent by hand. And what you do by hand sometimes doesn't get done.

The client base grows, but admin grows first

As new clients come in, the first thing to grow isn't your revenue, it's your admin.

What it means in practice

First we map how you work, then we hand the rule-based part to the machine

We look at what repeats, who does it, how often, and how much time it takes. Then we automate the processes that can be turned into rules, in three directions at once.

System integration

  • We connect your systems so data moves from one to the other on its own
  • Email, calendar, spreadsheet, form, invoicing, online shop, CRM: if there's a way to connect it, it can be connected
  • We work inside your accounts, not ours, so everything stays with you

Notifications and reminders

  • Confirmations that go out on their own when a process kicks off
  • Reminders about the steps that are easy to forget
  • Keeping track becomes the machine's job, not yours

Documents and reports

  • The machine puts together the confirmations and admin paperwork for you
  • Reports on where every inquiry stands right now, with no manual gathering
  • Fewer manual steps, fewer typos, fewer tasks that slip through
A typical example

From lead to your review, with no manual step

They fill in the form on your website Their details land in your CRM The confirmation email goes out If there's no reply for a few days, you get a reminder

The copying, the confirming, the keeping-track: you used to do all of it. From now on the machine handles it all.

We're not selling you a tool, but working, documented automation: with us, workflow automation starts by putting your business processes in order, not with a software subscription.

How we work together

Five steps, and exactly what you get at the end

Simpler automations can go live quickly; the more complex ones need more time, including the parallel test. After the review you'll see exactly which is which for you. Every step has a tangible result: that's also the scope of the work, which you get a written quote for after the review.

1

Process review

We walk through your daily and weekly routines: what happens, who does it, how often, how long it takes. This needs a conversation or two from you, plus a look at your tools.

A review document: where the manual hours go
2

Priority list

From the review we set an order: which process, automated, brings back the most time at the lowest risk. Here we need one decision from you: what to start with.

A written proposal, including what we don't recommend first and why
3

Building the automation

We connect your systems and build what we agreed on: data transfer, notifications, document generation. We need access from you; we work inside your accounts, so everything stays with you.

A finished automation, not live yet, but working
4

Test period with parallel running

For a while the automation runs alongside the manual process, and we look at every discrepancy. With us, nothing goes live without a parallel test. All we need from you is to keep working the way you're used to.

Proven matching results before it goes live
5

Handover, documentation, error handling

At go-live you get a short, plain-language guide. We set up error alerts and note what to do if something stalls. After go-live, we keep an eye on the running for a while too.

Honestly

Who it's for, and who it isn't

It's for you if
  • you have at least a few repetitive, rule-based digital processes: data entry, confirmations, invoicing admin, reports, reminders
  • every week you lose time on manual work that someone did in exactly the same way a week earlier
  • you're willing to put in time up front for the review and the test period; without them there's no reliably running automation
It's not for you if
  • the process itself is chaotic: we don't automate chaos; if the process is broken, we say so at the review and fix that first
  • every case needs individual judgment: where you have to interpret and decide, that's the ground for AI integration
  • you expect instant go-live with no test; that we won't take on
What to realistically expect

Not magic: measured, built savings

Return

We won't promise a number up front: we measure it

In the review we measure how much manual time a given process eats up today, and from that you see, on your own numbers, what the automation brings back. That's why we don't put a specific hour count here; your own processes set it.

Maintenance

Not "set it and forget it"

If you swap out one of your systems, or the provider changes how it works, the automation has to be adjusted to it. That's why you get error alerts, and that's why there's follow-up, so the running stays reliable.

We'll put a case study here when we can show it with real data the client has approved in writing. Until then we won't point to successes we can't name. But you can watch the method in action anytime.

In action

We use what we recommend, on ourselves too

It runs exactly the same way in our own CRM: automation records the lead, automation sends the follow-up emails and reminders, and automation puts together the report on where every inquiry stands right now.

Each one was built the same way we'd build it for you: review, priorities, parallel test, documentation. If you like, in the video audit we'll show you on screen how it actually runs for us.

In our own CRM
  • The lead is added on its own when they fill in a form
  • The follow-up emails and reminders go out on their own
  • The report builds itself: where every inquiry stands right now
When to use which

Workflow automation or AI integration?

The line is simple: if the steps can be turned into rules, it's process automation; if a step needs interpretation, that's AI's ground. The two often deliver a full solution together: the rules carry the frame, AI handles the decision points.

This page · rule-based

Workflow automation

If the steps can be turned into rules ("when the form comes in, record the lead and send a confirmation"), it runs the same way every time, predictably.

  • Data entry, confirmation, reminder, report
  • Predictable, repeatable, measurable
The other side · interprets

AI integration

If a step needs interpretation (figuring out from a free-text email what the client wants, or pulling the data out of a document), that's the ground for AI integration .

  • Understanding text, extracting data, drafting replies
  • Decision points, individual judgment

At the review we'll also tell you if the other one (or a mix of the two) works better for you.

Common questions

What most people ask

What systems can be connected, mine too?
Most business tools in use today: email, calendar, spreadsheets, forms, invoicing, online shops, CRMs. If a system has a connection interface (API), or at least an export-import option, it can most likely be connected. We build the integration on a proven automation platform (Make, for example) or a direct API connection, whichever runs more reliably with your tools. At the review, this is the first thing we do: we go through what you use and tell you what can be connected to what.
What happens if the automation breaks? Would I even notice?
Yes, because we set up an error alert alongside every automation. If a step stalls or throws an error, an alert goes out right away; nothing shuts down quietly, unnoticed for weeks. At handover we also note what to do in case of an error: what you can restart yourself from the guide, and when to call us. And in the period after go-live we keep an eye on the running too.
Who can maintain this afterwards, will I be dependent on you?
We're not out to hold you hostage. Everything is built inside your accounts, you have access to all of it, and at handover you get documentation and an operating guide. You don't need us for day-to-day running. If you want to change or extend something, you can choose: do it in-house from the documentation, or give us a shout.
How long until it pays off?
We won't put a number on it here, because we can't know it, it depends on your processes. But the review measures exactly that: how much manual time a given process eats up today, how often it runs, and what handing it to a machine would mean. From that you see the return on your own numbers, before you order anything.
What's the difference between workflow automation and AI integration?
Workflow automation follows rules: "if X happens, do Y", the same way every time, predictably. AI integration comes in where a step needs interpretation: understanding a free-text email, extracting data from a document, drafting a reply. If your process steps can be turned into rules, this page is for you; if it also needs decisions and reading comprehension, take a look at the AI integration page. The two often deliver a full solution together.
Why is there no price on the page?
Because the scope of the work varies hugely from business to business: connecting two systems with one notification is not the same as rebuilding five processes with document generation included. The “What it means in practice” section above shows what you can expect; you get the actual price after the review, in a written quote, with no surprises later.
How do I pay, a one-off fee or a monthly fee?
The fee has two parts: a one-off setup fee (this covers the review, the build, testing and handover), and a monthly fee for oversight: handling the error alerts, maintenance, and adjustments when one of your systems changes. You see the exact amounts in the quote after the review, before you decide on anything.
